Thursday night maintenance window – July 17

The IT weekly maintenance window will occur Thursday, July 17, from 10 p.m. to 2 a.m. The following services will be affected during this timeframe:

• IP phone voicemail
The Unity voicemail system (for customers with phones connected to the Internet) will be moved to the mst.edu domain as a part of campus rebranding. Voicemail will be unavailable during the entire maintenance window (10 p.m. to 2 a.m.)

• Linux and Windows systems
Monthly windows patching will take place. Linux and Windows servers will be unavailable for up to 30 minutes.

This is a regularly scheduled maintenance window that occurs every Thursday evening. An announcement explaining which, if any, services will be affected during the maintenance window will be posted at least 24 hours in advance each week on IT Press.

Database - A university database, ccep, will be unavailable for up to 40 minutes during the change window. Among the affected programs by this ccep database service disruption is Development's online giving application.

Thursday night IT maintenance window: Services unavailable

IT will be making updates to the following services during our regular Thursday night maintenance window between 10 p.m. and 2 a.m.:

  • User volumes – Customers will not be able to save to their ‘S:’ drives for the entire four hour maintenance window. Please make sure all work stored on your ‘S:’ drive is saved prior to 10 p.m. Any data updated or created during this window will need to be saved locally to your computer.
  • Subversion source control tool – This tool will be unavailable for up to one hour during the maintenance window.
  • Oracle server accounts – Many Oracle accounts will be upgraded during the window to use RADIUS authentication. If you have trouble logging into an Oracle account after Thursday night, please call the Help Desk at 573-341-HELP.

As part of IT’s regularly scheduled Thursday night maintenance window, the following services may be unavailable for up to an hour and a half between 10 p.m. and 2 a.m.:

IT Security Updates for Macintosh OS X / Linux Systems on November 20, 2007

UMR IT will be distributing critical security updates via the SUS servers on all IT-supported Macintosh OS X and Linux-based machines with a campus standard install on them on Tuesday, November 20, 2007. These updates will improve the security of the Apple Macintosh OS X and Linux operating systems.

Customers who use IT-installed computers (faculty, staff, CLC computers, etc.) may be prompted to reboot their computers shortly after 3:15 p.m. on Tuesday, November 20. The affected computers will automatically reboot themselves if no one is logged in.

This is virtually identical to the process IT uses to install Windows XP and Vista updates.

Oracle Servers Update on Saturday from 8 - 10 a.m.

IT will be doing maintenance on Oracle servers on Saturday from 8 - 10 a.m. Oracle server users may experience an outage that will last anywhere between five and 40 minutes. All users of oracle servers will potentially be affected by this outage during the upgrade, including students and users working with the capital fundraising campaign.

Blackboard will be upgraded to a new version on August 8 - 11, 2007.

Customers will be unable to login to Blackboard during the upgrading process.

This process will ensure that Blackboard will be available and ready for the upcoming semester for students, faculty and staff. Any course content or other materials that are already within the Blackboard system will be unaffected by the upgrading process.

Improperly Registered Systems on the Campus Network

On Tuesday, August 7, 2007, IT will begin implementing new controls which impact systems that are improperly registered on the campus network. In other words, any computer system or network-capable device that has not been properly registered with UMR IT will be affected.

Systems (or network-capable devices) that are not properly registered with UMR IT may experience connectivity issues when attempting to access the Internet. If the system is not using DCHP or was not configured in accordance with IT instructions, the machine may be actively blocked from the Internet by UMR IT. If this occurs, your web browser will be redirected to:

UPDATE (mhays): For reference, network-capable devices include PCs (desktops and laptops), printers, routers, switches, PDAs and any other device that requires an IP address in order to connect to the campus network--or any network, for that matter.

Cell phones that can access campus e-mail are not affected, in general, because the owner of the cell phone uses cell traffic to obtain e-mail data. However, cell phones still need to be registered somewhere in order to be useful. Usually this is taken care of at the time you purchase the cell phone. Apple's iPhone is an exception to this rule because iPhones have an IP address.

Changes to Campus Network Bandwidth Management

On Tuesday, July 24, 2007, UMR IT will initiate new campus network bandwidth management protocols to shape the flow of network traffic to and from the Internet.

This will replace the current bandwidth quota system in place for students accessing the Residential Network (ResNet).

Most campus customers will see no changes in their network bandwidth usage. The new system will only have an impact on those customers who routinely utilize an excessive amount of campus bandwidth. Business critical systems have mostly been identified (it is Summer and some items are not currently in use) and special allowances have been made to ensure minimal impact.

All campus customers—students, faculty, and staff—accessing the campus network will be subject to flexible traffic shaping rules based on the bandwidth usage of each campus customer. As a result, campus customers who exceed the hourly bandwidth usage threshold will have their bandwidth usage reduced until the top of the next hour, at which point, bandwidth usage will return to the standard level.

In this way an individual customer’s bandwidth usage will oscillate between high bandwidth availability and low bandwidth availability for that customer only, depending on how much bandwidth the customer is using over time. In general, low-bandwidth usage applications such as streaming music, e-mail, instant messaging and web surfing will be unaffected by the changes. Downloading large amounts of data such as software distributions, applications, or other large files will result in decreased bandwidth availability for a short period of time (less than one hour in most cases).

Bandwidth usage will be monitored according to a customer’s campus userid. If a campus customer has more than one system registered in their name and one of the systems exceeds the new bandwidth usage threshold over an hour’s time, ALL of their registered systems will be impacted by the reduction in bandwidth usage until the top of the next hour. All unknown or unregistered systems are subject to summary removal from the campus network, per IT’s Device Responsibility Policy.

Computer Account Maintenance begins July 16, 2007

UMR IT will begin performing routine computer account maintenance on July 16, 2007. This process will affect the following categories of account users:

  • Students no longer associated with UMR prior to June 2006 who are not taking classes or have graduated from UMR. Students who have enrolled since Summer Semester 2006 are not subject to this phase of maintenance.
  • Faculty and staff who are in terminated status prior to January 1, 2007 and who have already received a notice about the maintenance via their UMR e-mail account.

All accounts subject to this maintenance process have already been sent an e-mail notification through their UMR e-mail account. If the account has been returned to active status after the dates given above through re-enrollment or re-employment, the accounts will NOT be removed, even if a notification was previously sent.

Student accounts no longer in active status return to the UM System pool to allow the student continued access to Joe’SS. E-mail and local network file storage associated with the account is not moved to UM System.

On Tuesday, May 22, 2007, UMR IT will no longer allow customers to use the Virtual Private Network (VPN) for the purposes of Peer-to-Peer (P2P) file-sharing applications. Customers who initiate a VPN connection to the campus network and subsequently begin a P2P session will discover that P2P has been disabled while the VPN connection is active. Disconnecting from VPN will re-enable P2P traffic through the customer’s normal Internet provider.

Windows and Linux Server Security Updates on May 17-18

UMR IT will be performing critical security updates on all campus Windows and Linux servers on Thursday, May 17, 2007, from 10 p.m. to 2 a.m. Friday. This process is similar to the standard Windows desktop security updates but affects many of the campus computing services available. During the maintenance window, customers may have difficulty accessing a number of services, including e-mail, web applications (for example, https://help.mst.edu), applications that need to access the licensing servers, and any other service hosted on the campus Windows-based or Linux-based servers.

Interruptions in service will last from 5 – 30 minutes, depending on which service is updated.

UMR IT recommends that all IT customers save their work before the servers are updated to keep from losing any data.

IT Security Updates for May 14-15, 2007

UMR IT will be distributing critical security updates via the SUS servers on all IT-supported Windows XP machines with a campus standard install on them on Monday, May 14, 2007. These updates will improve the security of the Windows XP operating system and Microsoft Office 2002 & 2003.

Customers who use IT-installed computers (faculty, staff, CLC computers, etc.) may be prompted to reboot their computers starting 3 p.m. on Tuesday, May 15. Customers with administrative privileges may be prompted sooner than 3 p.m. The affected computers will automatically reboot themselves if no one is logged in.

Internet Explorer 7 (IE 7) will NOT be installed as a part of this update. IE 7 is not yet compatible with a number of web applications commonly used on the UMR campus, including PeopleSoft and Documentum Web Publisher. IE 7 will not be installed on campus-standard machines until after UMR IT determines that IE 7 is compatible with current campus web applications.

Change Management in IT

Change Management is the process UMR IT uses to discuss and implement changes to the UMR computing environment. All changes must be reviewed and approved prior to being implemented.

Change Management encompasses four service groups within UMR IT: Networking, Systems, Applications, and Desktop Infrastructure (with Blackboard as a sub-category of Applications). Each service group performs weekly maintenance during one or more well-defined maintenance windows in order to minimize the impact to the campus community.

The standard maintenance windows are listed below. These times are reserved for maintenance specifically to minimize the impact any maintenance procedures may have on campus computing. Most maintenance occurs behind the scenes and does not directly affect customers of UMR IT.

Notes:

  1. Applications maintenance includes all web applications commonly used on campus, such as PeopleSoft, Documentum Web Publisher, and the Online Help Request system. In many cases, customers will see little to no impact other than the inability to access a particular web application. Blackboard services have a special maintenance window reserved in case of any updates to the Blackboard environment.
  2. Desktop maintenance primarily refers to the monthly Windows updates to all campus-standard installations of Windows XP. The updates are downloaded on Mondays, but are generally not installed until the following day, at which time customers may be required to reboot the machine they are using.

Emergency Maintenance

UMR IT reserves the right to perform emergency maintenance as needed to prevent any catastrophic events that are likely to occur or to recover services from such an event. This may result in interruptions of campus computing services lasting several hours or longer.
